Ordering made-to-order workwear: steps, quantities and lead times

By the PROVETEX team14 October 20263 min read

You need to equip your teams but don't know where to start? Here is how an order for made-to-order workwear actually unfolds with a manufacturer, with the points that save time and avoid unpleasant surprises.

Step 1: define your need precisely

Before asking for a quote, list the following: your sector, the type of garments (jacket, trousers, coverall, polo shirt, coat), the headcount to equip, any particular constraints (hygiene, visibility, protection) and customisation elements (logo, colours).

Step 2: the quote and the choice of fabrics

The manufacturer sends you a detailed quote, with fabrics chosen to match your constraints. For technical needs (waterproofing, fire resistance), the specialist fabrics are sourced from external suppliers, which can affect lead times — so it is worth raising this from the start.

For technical fabrics, sourcing is part of the schedule: best to raise it at the quote stage.

Step 3: models, samples and approval

Before production starts, approve the model, the colours, the logo positions and the sizes. A sample lets you check the cut and the quality of finish. It is an important step to avoid an error running through the whole series.

The minimum order quantity

A manufacturing workshop works in series. At PROVETEX, the minimum quantity is 100 items per model and per colour. From there, you can combine several models and colours to equip all of your teams.

Step 4: production, inspection and delivery

Once the samples are approved, production starts, followed by quality control and then delivery. Plan a realistic schedule and anticipate your reorders to avoid running out, especially in the most common sizes.

Mistakes to avoid

  • Ordering without measuring your teams: prepare an accurate size chart
  • Choosing on unit price alone, without looking at durability
  • Forgetting the time needed to approve samples
  • Not keeping stock for new joiners
